In this role, you will work directly for the property General Manager and support the shopping center management office.
Your day to day responsibilities will include…

  • Be responsible for most of the administrative functions within the property management office. This includes scheduling and coordinating meetings, troubleshooting customer service issues as they arise, making travel arrangements, managing inbound/outbound correspondence, completing expense reports, capturing meeting notes, filing and records retention.
  • Work closely with the management team and legal service team to ensure timely, accurate creation and routing of locally generated vendor contracts and storage agreements and maintain current contract summary and files.
  • Provide on-going local support for corporate departments including Lease Administration, Legal, Center Operations, and Information Technology.
  • Provide administrative support for the Specialty Leasing team including interactions with prospective and existing tenants, creating all necessary contracts and ensuring compliance with all established rules and regulations.
  • Other responsibilities include occasionally serving as the back-up Financial Assistant, maintaining log of incoming checks and completion of several required corporate reports; participation in Webex and conference calls from time-to-time.

The ideal candidate will have…

  •     Proficiency in Microsoft suite including Word, Excel, PowerPoint and Outlook calendar system.
  •     Experience with JD Edwards financial software is a plus.
  •     Ability to quickly learn new software and/or computer programs.
  •     High School Diploma or equivalent is required; College degree preferred.
  •     Minimum three years of Administrative Assistant experience is required.
  •     Strong interpersonal and communication skills is essential.
